How to move and edit multiple items with Binly Bulk Manage

Open Tools and choose Bulk Manage to find and select several places or items. Review the selected records, choose the appropriate move, tag, or archive action, and confirm its scope before applying it. Use bulk actions for one shared change; open individual records when each needs a different update.

This guide is for moving a group of belongings, preparing a collection, or clearing inactive records. You will learn how to make one deliberate change across the right set of records.

When should I use Bulk Manage?

Use Bulk Manage when multiple records need the same action. Individual editing is clearer when each item needs a different name, destination, or description.

  • Move several selected items into a new storage place.
  • Move a place under another parent or into another inventory.
  • Add a project tag to a group of items.
  • Archive records that should leave active views.

Bulk Manage changes saved records. It does not move physical belongings or check that every object in a box is present.

How do I select and update multiple records?

Build the selection before choosing the change, and inspect it with View Selected. The visible search results and the records you have selected are not always the same set.

  1. Open Tools → Bulk Manage and choose the places or items view appropriate to the task.
  2. Search or use the place picker to find the relevant records.
  3. Select individual records or use Select Visible. Use Clear Visible to remove the visible selection when needed.
  4. Open View Selected and check names, count, and scope.
  5. Choose the action and its destination or tag settings, then review and confirm.
  6. Check the result and open a representative record to verify its new state.

Read-only records cannot be changed through bulk tools. Review any skipped or failed records before assuming the whole selection was updated.

What is the difference between moving a place and moving its items?

Moving a place changes where that container or storage spot sits in the hierarchy. Moving items changes where the belongings are recorded, while the original place can remain where it was.

In a worked example, you move Blue Bin from Garage Shelf 3 to Storage Room. Move the place if the physical bin and its contents moved together. If you emptied Blue Bin into a cabinet, move the items to the cabinet instead.

Move Items from selected places can include all active contents of those places. Use an item selection when you intend to move only a few belongings. Check the source and destination before confirming.

How do I add tags without removing existing ones?

Choose the add-tags operation when you want to keep existing tags and add another. Replace and clear operations have broader effects and should be selected deliberately.

Tag actionIntended result
AddKeep existing tags and add selected tags
Replace All TagsUse the new set instead of the previous tags
RemoveRemove the specified tags
ClearRemove the tag set

For a Weekend Camping collection, add that tag to the lantern and stove without replacing useful tags such as Lighting or Cooking. See collections and tags for membership rules.

Why use bulk actions instead of editing each record?

A bulk action applies one decision consistently across a reviewed selection. Repeated individual edits are useful for exceptions, but require you to repeat the same destination or tag choice on every record.

The tradeoff is scope: a mistaken selection can affect several records at once. Start with a small, recognizable group, review the outcome, and then handle the next group.

What should I check before confirming a bulk action?

Verify the selection, action type, and destination together. Most confusing results come from selecting the right records but choosing an action with a different scope.

  • Inspect View Selected after changing filters.
  • Distinguish a place move from moving that place's items.
  • Use Add rather than Replace when existing tags should survive.
  • Read the completion results for skipped records.
  • For accidentally archived records, use Archive restoration.

What are the most common questions?

These answers cover the practical choices you can make before expanding your setup.

Does Select Visible select every search match?

Treat Select Visible as the currently visible set. Inspect View Selected before applying the action rather than assuming an unseen result was selected.

Can I change records shared as read-only?

No, read-only access does not permit bulk edits. Ask the owner to make the change or grant the appropriate access.

Does archiving permanently delete the records?

Archiving removes records from active use rather than permanently deleting them. Use Archive to inspect and restore eligible records.

Will adding a tag change an item's place?

No, tags describe or group the item independently of its physical place. Use a move action when the saved location needs to change.

Can Activity undo a bulk change?

Activity can help you inspect recorded changes, but it is not a general undo tool. Correct moves or tags through the appropriate editing controls and use Archive for restoration.

For current plans and limits, see Binly pricing.

What should I do next?

Choose a small group with one shared update, review it in View Selected, and verify the result before repeating the action on a larger group.
